Credits
Credits are the one balance that pays for everything in FormsUI that costs money: signature sends and PDF work. Open Credits in the header.
One wallet per workspace
Each workspace has its own wallet. Your personal workspace, each team you run and each CivicPort community you administer all have separate balances.
The Credits page shows the workspace selected in its Workspace picker. Pick another to see and spend that one.
Everyone who can spend in a workspace spends from the same balance. On a team that is the owner and the admins. Members cannot see or spend the team's credits.
The balance
The top of the page shows:
- how many credits the workspace has;
- what a signature send costs, what a PDF upload costs and how many pages that covers, and what each extra page costs;
- what filling out a PDF and re-checking a form cost;
- a warning when the balance is running low.
Signature sends and PDF imports both stop working once the balance cannot cover them. Top up before you need to, rather than when someone is waiting on a signature.
Prepaid signatures
Some older wallets also hold prepaid signatures, bought as a count before credits covered everything. They are shown under the balance while any remain, and each signature send uses one before touching your credit. They can no longer be bought.
Buying credits
Under Buy credits, enter a number of credits, or pick one of the shortcut amounts, and choose Buy. The button shows the total in dollars. Payment happens in a secure checkout that opens over the page.
The price of one credit and the smallest purchase are shown on the page. Any amount from the minimum up is valid: the shortcuts only save typing.
The balance updates within a few seconds of payment.
If online purchase is not available, the page says so. Contact support to top up in the meantime, from the Support page.
Move credit
Because each workspace has its own balance, a new team starts empty even when you have already bought credit elsewhere. Move credit transfers credit you already own rather than making you buy again.
The section appears when you administer more than one workspace.
- Select the workspace to move credit from in the page's Workspace picker.
- Under Move credit, choose the workspace to move it to.
- Enter an amount in credits, or choose Move all.
- Choose Move.
The page confirms both sides, naming how much each workspace now has.
The rules
| Rule | Why |
|---|---|
| You must administer both workspaces | You cannot pull from a wallet you do not control, or push into a team you do not run |
| The two workspaces must be different | |
| The amount must be more than zero and no more than the balance | |
| Only credit moves, not prepaid signatures | |
| A double-click moves it once | Each move is identified, so a repeat submission is refused |
| If the receiving side fails, the credit goes back | Your balance is left unchanged and the page says the transfer failed |
Both halves of a move appear in the history of their workspace, with the same reference, so a move out of one can be matched to the move into the other.
Balances by workspace
When you administer more than one workspace, a table lists every one of them with its balance, the one you are viewing marked Viewing.
Where your credits went
A history of every movement of the workspace's balance, newest first.
| Column | Shows |
|---|---|
| What | What the movement was for, such as the document sent or the PDF imported, the kind of movement, when, and who made it |
| Change | Credits added or taken, and any prepaid signatures |
| Balance after | The balance once that movement landed |
Filter it with Everything, Used, Added, and Transfers when there have been any.
| Kind | Meaning |
|---|---|
| Sent for signature | A signature send |
| SMS verification | Text-message verification for a send's signers |
| PDF import | Importing a PDF as a form |
| Extra import pages | Pages beyond those an import includes |
| Form re-checked | Re-checking an imported form against its PDF |
| Extra re-check pages | Pages beyond those a re-check includes |
| Filled PDF | Filling out a PDF |
| Refund | A charge given back, with the reason |
| Credits bought | A purchase |
| Adjustment | A change made by the FormsUI team, such as starter credit |
| Moved in, Moved out | A move between workspaces |
Entries are only ever added, never changed. Each is chained to the one before it, and the page checks the chain and says how many entries it verified. If an entry no longer matches the record it was written with, the page says so in red and asks you to contact support before relying on the figures.
The history starts from the day it was switched on, so anything spent before then is not in it.
Low balance alerts
FormsUI emails the workspace when its balance drops to a line you choose.
| Setting | Details |
|---|---|
| Warn me at | A whole number of credits, from 0 to 1000. 0 means you only hear about it when the balance is spent |
| Send the warning to | Up to five addresses, separated by commas. Leave it empty for none |
The warning is sent once on the way down, not once per send. Buying, moving in or being granted credit re-arms it. Changing the line re-arms it too.
The page also shows its own warning whenever the balance is low.
