Archiving a form
Archiving is how you retire a form: last year's registration, a closed application round, a form you have replaced. It takes the form out of use and out of your working list, and keeps everything it collected.
FormsUI has no delete for forms. A submission only means something next to the form that collected it, so the form is kept as the record of what was asked.
Archiving
Archive on a published form's row in the forms list. The form moves to the
Archived tab, and the page confirms it.
What archiving changes
| Archived form | |
|---|---|
| Its link | Stops working. Anyone who opens it is told the form is not available |
| Its questions and settings | Frozen. Nothing about the form can be edited, presets included |
| Its submissions | Still there, still readable and downloadable from the submissions icon on its row |
| Where it is listed | The Archived tab, not Active |
The edit button on an archived form's row is disabled. Opened directly, an
archived form shows in the builder read-only, with a note explaining why and a
Restore button in place of Save.
Restoring
Restore on the form's row in the Archived tab, or in the builder. The form
goes back to published: it returns to the Active tab, its link works again
(the same link as before), and it can be edited again.
To change its questions after restoring, put it back to draft as you would any published form.
Archiving or back to draft?
| You want to | Use |
|---|---|
| Fix or change a question, then carry on | Back to draft |
| Stop taking answers, and keep the form as a record | Archive |
Both turn the link off. Only a draft can be edited; an archived form cannot be changed at all until it is restored.
Archiving a form is separate from archiving submissions, which tidies a busy form's submissions list without touching the form. See Submissions.
