Glossary

Admin. A team role that can build forms, read submissions, send for signature and spend credit. See roles.

Admin join code. The team code that admits people as admins. Only the owner can see or change it. See join codes.

Archive. How a form or submission is retired. It stays readable, and an archived form can be restored. See forms.

Branding. A team's logo, accent colour, header line and footer line, worn by its forms and the PDFs made from them. See branding.

CivicPort. The community-management platform FormsUI grew out of. FormsUI is also reachable at forms.civicport.io, where it shares CivicPort's sign-in.

Community. A CivicPort community. Its admins get it as a workspace in FormsUI, with the same reach an admin has over a team.

Credit. The unit of the prepaid balance that pays for signature sends and PDF work. See credits.

Fill out a PDF. Typing answers into a PDF's blanks and getting the finished document back, without asking anyone to sign it. A paid action. See Fill out a PDF.

Import. Turning a PDF you already use into a fillable online form. See importing a PDF.

Invite. An email to one address that lets that person, and only that person, join a team. Good once, for 14 days. See invites.

Join code. A short code that lets whoever holds it join a team. Each team has a member code and an admin code. See join codes.

Ledger. The credit history on the Credits page: every movement of a workspace's balance, only ever added to. See where your credits went.

Member. A team role that can sign in and fill the team's private forms, and nothing more. See roles.

Move credit. Transferring credit between two workspaces you administer. See move credit.

Owner. The one person who runs a team. Ownership can be transferred but never shared. See teams.

Personal workspace. The workspace every account starts with, used by you alone. Shown as My workspace. See workspaces.

Prefilled link. A link to a form with some answers already filled in. See publishing and sharing.

Prepaid signatures. Signatures bought as a count before credits covered everything. Used before credit, and no longer sold.

Private form. A form only members of the workspace can fill, after signing in. As opposed to a public form, which anyone with the link can fill.

Public filler. Someone filling a public form. They need no account.

Re-check. Reading an imported form's PDF again to find anything the first import missed. A paid action, not charged if it finds something.

Sensitive field. A field, such as a Social Security number, stored encrypted and masked on screen until revealed. Every reveal is logged. See sensitive fields.

Source. Whether something came through FormsUI or through CivicPort. Shown only where both appear, such as a team's members table.

Submission. One completed form. See submissions.

Team. A workspace shared by several people, with an owner, admins and members. See teams.

Two-factor authentication. A six-digit code from an authenticator app, asked for as well as your password. See two-factor authentication.

Workspace. What owns forms, submissions and a credit balance: your personal workspace, a team, or a CivicPort community. Picked in the workspace switcher. See workspaces.
