Invites
An invite is for when you want particular people in a team, and nobody else. It is the counterpart to a join code, which admits whoever holds it.
How an invite differs from a join code
| Join code | Invite | |
|---|---|---|
| Who it admits | Anyone holding it | One email address |
| How many times | Until rotated or switched off | Once |
| Forwarded to someone else | They get in | Worthless to them |
| Expires | No | After 14 days |
| Can be withdrawn | Rotate or switch off | Revoke, until it is used |
Sending an invite
Open the team on the Team page, find Invite people, enter an email address and choose Send invite.
| You are | You can invite as |
|---|---|
| Owner | Member or admin |
| Admin | Member only |
Inviting somebody as an admin is the owner's to do, the same rule the admin join code follows.
You cannot invite someone who is already in the team.
Pending invites
Invites waiting to be accepted are listed under the invite box, with the address, the role and the date each one expires.
| Action | What it does |
|---|---|
| Copy link | Copies the invite link, for when the email does not arrive |
| Revoke | Withdraws the invite. The link stops working |
Inviting the same address again refreshes their invite rather than creating a second one, so there is only ever one live link per person.
If the invite is created but the email fails to send, the page says so. The invite still exists, so copy its link and send it another way. The link is bound to the invited address either way.
Accepting an invite
The email links to /invite/<token>.
The link needs a signed-in account, the same as the join screen. Someone who is signed out is sent to sign in and then back to the invite. Someone with no account yet signs up with the invited address first, and the invite is still waiting when they come back.
The page names the team, who sent the invite, and the role it offers. Choose Join to accept.
Signed in as the wrong account
The invite is checked against the email address on the account you are signed in with, never against anything in the link. This is what makes a forwarded link worthless to whoever it reaches.
If you open an invite while signed in as a different address, the page does not call it invalid. It tells you which address the invite was sent to and which address you are signed in as, and asks you to sign in with the invited address. Switching account is the fix.
Expired or revoked invites
An invite lasts 14 days. After that, or once revoked or used, the link shows "That invite has expired or been revoked". Ask the team for a new one.
Invites from the FormsUI team
A different kind of invite comes from the FormsUI team itself rather than from a
team you belong to. Its link has the form /welcome/<token>, and it sometimes
carries starter credit or prepaid signatures.
It works the same way as a team invite:
- It is addressed to one email address, and the page tells you if you are signed in as someone else.
- Create an account first if you do not have one, then open the link again.
- Choose Claim to accept it.
Any credit it carries lands in your personal workspace the moment you claim it, not before, and pays for signature sends and PDF imports like any other credit. See credits.
